So many traditional time management tools (calendars, spreadsheets, tasks lists, etc.) often times only succeed at making you more efficient at taming life as you know it. Unfinished tasks, stacks of incomplete reports, overflowing email boxes, and missed appointments prowl around you like lions going in for the kill. Most time management tools (whether you realize it or not) are just a whip and a chair holding the lions at bay, so you don’t get devoured. On an exceptional day your whip and chair might help you control the lions enough so that you can put on a good show and gain a few applause. But lets get real…at the end of the day you are still stuck in a cage hoping you won’t get eaten.

Do you ever feel that way at work? At home? In relationships? Many people do. I know I have. Even with my calendars and to-do lists. Even with my knowledge of how not to procrastination and how to limit interruptions, I have gotten to the end of a work day more than once and felt, “Well, I didn’t get eaten today, but what did I accomplish? What mattered today?”

Hang on to that thought for a moment…What mattered today? What matters to you? What makes a difference? What genuinely feels like an accomplishment to you? What would a day look like where you weren’t in a cage at all? What would those lions ultimately be doing if you could make them do anything you wanted and didn’t have to just make sure they didn’t eat you?

These are creative, imaginative questions that make all of the difference in the world? These are not thoughts on managing what is? These are strategic thoughts? These are thoughts on how to transform your situation. These are the thoughts that are truly going to get you out of a place of just reacting to the lions.

Unfortunately, many of us get trapped because first off, we are so very busy just managing the lions that WE DON’T TAKE TIME TO THINK about how to change the situation. We don’t take time to ask the really important questions that I listed above.

Second, we get trapped because we are fixated on using only the tools that give us a sense of immediate safety…our whip and chair, our calendars and to-do lists. They are tried and true. Everybody knows they work. Right? Conventional wisdom tells us so. But, what if you had a key and you didn’t know it?

SO HOW DO WE ESCAPE?

Have you noticed the funny way Allyson Lewis spells time? She writes it out in all caps with a lower case “i” like this: TiME. It’s not a mistake. It’s intentional. It’s a way of visually capturing a real epiphany she had about her philosophy of TiME. She chose to do that to highlight what she calls the “i” and the “ME” in our management of time.

Bear with me for a moment as I explain this. I promise that we are working our way toward the escape route, but your really need to understand the difference between the “i” and the “ME” if you don’t want traditional tools holding you captive in the lion’s cage.

In Allyson’s recent book, The 7 Minute Solution, she reveals how there is a plurality to who we are. That plurality arises from our two brains: our left brain and our right brain. Allyson submits that the “ME” resides in our left brain. The “i” resides in our right brain. Traditional time management tools are virtually all extensions of our left brain. Our left brain loves traditional time management because it craves order, sequence, logic, things that are clearly measurable. These are great abilities, they just have some very clear limitations.

There is little or no place for the right brain in most organizational tools and time management tools. However, our right brain is the part of us that is going to risk, imagine, be adventurous, and grab the big picture. It’s where our highest ideals and images of the future reside. Take a moment and just consider the the table below.

Left Brain–ME

I would suspect that if you look at your activity over the past week, that as much as 80% of your time was spent on left brain (ME) activities.

Yet, if you truly want to do more than just monitor and manage life as it is right now, then you are going to have ramp up the time you spend, dreaming, envisioning, listening to your highest ideals, and picturing life as it could be. All of which are right brain (i) activities.

If you want to do more than just hold the lions at bay, then you have to start investing in your “i”. You have to start consciously and actively investing yourself in activities that flow from your right brain.

If you stop to think about people who are extraordinary achievers, they are great envisioners and great risk-takers. They are also creative, full of ideas, lack conventional boundaries, and intuitively seem to grasp many trends that others cannot yet see. Again, these are all right brain activities.

As I consider the difference between the “ME” and the “i”, the left brain and the right brain, I realize now why The 7 Minute Life Daily Planner and 7 Minute principles are hands down so much more effective than traditional tools.

How? The planner pushes me to sit down every 90 days and immerse myself in right brain activities, such as, envisioning the big picture of the next 90 days, imagining my life at its best, and defining my highest ideals. Then on a daily basis, the planner puts a slight positive pressure on me to keep that right brain actively engaged in ordering my day. For example, prompting me to consider what 5 high value tasks I will accomplish before 11 o’clock is a daily reconnect point with my highest ideals that reside in the right brain. The planner visually prompts me to consider making valuable life connections with other people. That desire to make connections is another craving of the right brain.

I hope the escape path from the lion’s cage is becoming very clear to you. You can’t just give you right brain a wink and a nod periodically. If you want to make bold, creative and life transforming moves, then you actually are going to have allow your right brain to be in the driver’s seat. It’s the part of you that sees the big picture, takes risk, imagines, dreams, creates and paints vision.

In the upcoming webinar, next Thursday at 1 p.m., EST, I am sure Allyson will go into much more detail about how we do this in our day to day lives. I suspect she will also give you a fuller picture of the “i” and the “ME”. I just hope I have made it clear that traditional time management is extremely limited in helping you truly transform your life. I hope you can see why your “i” has to become capitalized and not marginalized.

If you are ready to escape the cage full of lions, come join us in the webinar next Thursday. Do it quickly though. We are limited to 1000 on the call and as of last night we already had 895 people registered!

I suspect that nearly every household has a hammer laying around in a drawer or hanging on a peg board somewhere. A hammer is perhaps the most common hand tool and yet, few people actually know how to use one effectively. In fact, almost 50,000 people a year get injured wielding a simple hammer. Seeing a master carpenter work a hammer is something to behold. Tap, Tap, Bang! and a nail is set perfectly. The sad thing is that almost anyone can wield a hammer like a pro with just a few simple tips.

So why am I talking about hammers? Because just as hammers are one of the most basic and poorly used tools for constructing something, so too are goals for constructing the life you want and achieving your deepest desires. Earlier in the week, Allyson wrote a great post on strategic goals setting. She equipped everyone who read that article with the tool called goals. In today’s post, I will teach you how to wield those goals like a master craftsmen, so you can nail achievement every time.

First, Don’t shrink the think on your action steps. My biggest mistake when I first started writing goals was thinking hard about the goal, but spending far too little time on the action steps needed. I would hastily write down three or four action steps, but little more.

Mentally dig deep on action steps. Consider the time, resources, people, skill sets, knowledge etc. that you need to achieve success. Write as much down as you possibly can. Writing pushes clarity. Clarity pushes action. Action (when purposeful) creates achievement.

Second, schedule action steps and deadlines. Once your action steps are defined IMMEDIATELY SCHEDULE two things: your first action step for each goal and any deadlines. Doing so drives action. Notice that deadlines is plural. Do not only set a deadline for your goal, but also set deadlines for each action step. An action step without a deadline is an invitation to procrastination and future disappointment. Don’t let that happen to you–schedule.

Third, anticipate obstacles. Action steps almost never go as planned. For example, someone misses a critical deadline, an emergency slashes your time in half, or a your budget is completely off base. These aren’t anomalies. That’s life. However, people tend to idealize the path toward their goals and then when life interrupts (as it is prone to do), they suddenly bemoan their fate, shake their fist at the universe or just give up. Save yourself a whole lot of grief and bypass an unproductive pity party by accepting the fact that obstacles, mistakes and mishaps are going to happen. You can’t control those, you can however control your response. Respond productively.

Fourth, realize that sometimes you are the obstacle. Hitting your thumb and bending nails is part of hammering, and unfortunately, there is no one to blame but you when that happens. Ask yourself the following questions if you are stuck:

How might I be the problem?
Am I getting in my own way?
Do I have personal limitations of time, knowledge, or skill that are keeping me from moving forward?
Do I have habits or mindsets limiting my achievement?

For example, I realized about a year ago that many of my projects were stymied by the fact that I was perpetually trying to do everything myself. A conscious effort to delegate and outsource is exponentially expanding my effectiveness.

Lastly, adopt an attitude that failure is not an option. Commit. The dividing line between people who realize goals and those who do not is often nothing more than a determination to do whatever it takes.

So, there you have it…five simple keys to help you nail your goals like a pro: Dig deep on planning action steps, schedule steps AND deadlines, anticipate obstacles, admit when you are the obstacle, and don’t allow for failure to be an option.

Wishing you greater productivity and meaning,
John Arnold

p.s. Additional tip: If you are currently using The 7 Minute Life™ Daily Planner, take 7 minutes right now to review your goals. How many action steps do you have scheduled?

90 Day Strategic Goal Setting

As a part of The 7 Minute Community we encourage each of you to clarify and re-establish written 90 day personal goals and 90 day work goals. This is an edited excerpt from my book The 7 Minute Solution:

“When you establish your ninety-day work goals realize that in an ninety-day period there are approximately sixty workdays of eight hours each for a total of 480 hours. My guess is that most of us work far more than that. But are we really working on projects that matter for eight hours a day? Or are we focusing our attention on things that pull us away from our purpose and our goals?

The next 90 workdays of your life could be radically different if you use these planning tools. Sit down alone or with your team, and decide what you really want to accomplish over the next three months. You may want to focus on only two or three major work goals per ninety days.

As you create your written 90-day work goals, step back and focus on what really moves the bar. Simplify your goals into meaningful accomplishments. Write your goals in present tense, as though they have already been reached. They follow each goal with action steps that you personally have control over.

7 Minute Solution Practical Application No.4: Create A 90-Day Work Goals Worksheet

The 90-Day Work Goals Worksheet is strategically one of the most powerful tools in this book. Bringing order to your thoughts and to your workday is one of the goals of this book.

As you write down your 90-day work goals, you instantly release your subconscious brain to set out a net to scan for and to capture millions of new ideas for potential solutions to reach your goals. But you must first narrow down what you want to accomplish. Your written goals give you strategic focus. And when you deliberately think through what actions you need to take to reach each goal, the only thing left to do is to execute them.”

About 6 or 7 years ago, I took out a day and created a massive mind map of all of the things that mattered most to me and literally drew a picture of my ideal life. One important piece of my dream was to be in a play. I had written numerous skits for church youth events. I had written and performed monologues as sermons. I had visited schools role-playing one of the pilgrims on the Mayflower. I had clowned. I had sewn costumes, built sets, and loved acting, but had never actually auditioned and had a part in a theater production. So, among my goals was the desire to someday have a leading role in a theater production.

For two or three years I toyed with auditioning at a local theater in Hot Springs, Arkansas where I was living. However, I never felt I could keep the demanding rehearsal schedules. When we moved to Texarkana, Arkansas I immediately discovered a local theater group and decided that before I got overcommitted to other things I would audition.

My First Role--Drake the Butler in Annie

I will never forget my first audition. The play was Annie. We had to read part of a script, sing and try to follow some choreography. We were also given some blocking instructions for a short scene and then had to do it on our own. At that time I had never even heard of “blocking”, which is theater speak for your movement and physical actions during a scene. I felt like I was in a totally alien landscape. Nevertheless, I landed two bit parts: Drake, the butler of Daddy Warbucks and a skidrow bum who did some ensemble singing and a couple of solo lines. I loved it and gave it all had.

My first lead role as Scrooge in A Christmas Carol

Six months later, I auditioned for A Christmas Carol and landed the lead as Scrooge. I was scared spitless. I wasn’t afraid to act or be in front of people, but I seriously questioned my ability to memorize an entire script. The script was over 40 pages and Scrooge never left the stage throughout the entire play! Yikes! And lest we forget Scrooge expresses every extreme of human emotion: intense anger, grief, fear and joy. If that wasn’t enough, this production had added musical elements. So, I also had to sing several songs. Oh boy–was I in over my head.

I later told the director that I seriously considered offering to step out of the role if he didn’t think I could do it. I wasn’t a quitter, but I wasn’t afraid to admit that maybe I had been given a role I didn’t have enough experience to pull off yet. If I needed to be replaced with someone, I was willing to be. He later admitted that he had started to question if I could do it and almost pulled me.

But…I worked like a dog. My kids ran lines with me as we drove to and from school. I ran lines in the shower. I muttered to myself in a british accent while alone in the car. I shouted lines at an invisible Bob Crachett as I mowed my lawn. (I can’t imagine what my neighbors thought.) I assumed the body posture of Scrooge and walked with a limp as I grocery shopped. I cropped my overgrown beard off into rather disgusting set of mutton chops. All of those things paid off. I memorized every line and delivered them with great passion for the part. I can’t tell you a time in my life when I have probably felt more alive and engaged than when I strode the stage as Scrooge.

Me as the Candy Seller in Willy Wonka with an Oompa Loompa

I fulfilled my dream of playing a lead and now I continue to act in a bit more leisurely roles. Last week, I assumed the stage again. This time as the Candy Seller in a local production of Willy Wonka and the Chocolate Factory. While working on the play I had the added joy of living into two of my core values as well: Family and Creativity. My daughter, Ruth, was the lead, Willy Wonka and my son, Matthew, was Charlie Bucket’s Father. I envisioned and assembled Ruth’s and my costumes, including sewing my vest, her purple velvet frock coat, bow tie, and glitter covered top hat. What joy.

So, last week I lived a big part of my dream life. That dream took time. My dream was years in the making but those years all took place in the now.

The now when I said…
“Now is the time to audition.”
“Now is the time to learn how to memorize a script.”
“Now is the time to push myself past what I know I can do.”
“Now is the time to face my fears.”
“Now is the time to put in the extra hours outside of practice.”
“Now is the time to seek help from other veteran actors and the director.”

All of those mini-nows were stair steps to realizing the dream.

What is your dream and what is the now you need to seize to start stepping into your dreams?

Don’t be afraid. Just get your toe in the door and gradually open that door wider and wider with ever braver choices about how you spend your now.

You can do it! I know you can because I did. Look at my smile in these pictures. I think it says it all. When have you last smiled like that? How often does a grin spread itself across your face from ear to ear? If you don’t know when, then you are likely not living your dream. You are long over-due to decide that dream, write it down and GO FOR IT! Start today.

p.s. One of the bonuses of living your dream is inspiring others to live theirs. I hope and suspect that my journey gave my son and daughter the courage to pursue their parts and start living their dreams.

Your heart is beating, but are you truly connected to your life? When you wake each morning, do you feel the buzz of potential and excitement? Or do you move from day to day, lost in a swirl of chaos, confusion, interruptions and distractions?

When I saw my friend Debbie Ring walking toward me at church that Sunday morning, I knew even before she spoke that something had happened. She put her hand on my arm as if to comfort me and said, “I’ve got cancer.” She paused to let the words sink in. “It’s stagefour colon cancer. I have six months to live.” The jolt of her words ran through my body like an electric current.

“I’ve got cancer.” Three words. Three terrible words. They hit me with such force that my initial inclination to run from their sting was overcome only by my instinct to protect my friend. I grabbed hold of her and together, we cried.

At home that night, I tried to remember what my life had been like the day before.

Nothing. It was like nothing. I knew then that I had been existing but not really living. I was breathing but not feeling.

How did I feel now? Sadness for my friend swept over me. I felt guilty for allowing life to pass me by. An overwhelming need to wake up shook me. I felt a growing responsibility to live. Debbie’s three dreadful words had drawn a line in the sand in front of me. I knew I had a choice to make: I could choose to continue to move through life completely unaware, or I could choose to wake up.

In August 2001, I took the first step toward awareness. I recognized that something needed to change, but I didn’t know where to go or whom to turn to. You have the potential to live more than eighty years on this earth. How you choose to spend yourtime is one of the most important factors in whether or not you will experience a meaningful life. I have chosen not to allow life to pass me by. I am awake and aware that the choices I make every day determine the quality of life I experience. I am choosing, moment by moment, to spend my time living a life that matters. How will you choose to spend your time?

Time.

The doctors told Debbie Ring that she had six months to live. But with courage, modern medicine, faith, and prayer, she lived six more years. Throughout those years, Debbie cherished her time. She lived with purpose and hope. On January 18, 2007, with her daughter lying next to her, and her two boys kneeling at her bedside, her husband, Dan, gently kissed his wife good-bye and said, “Run to Jesus, baby, just run.”

I know that when Debbie passed from this world to the next, she had no regrets. Her family knew she loved them, and her faith gave them hope and courage. That’s what mattered most.

(This post is an edited excerpt from pages 27-31 of The 7 Minute Solution.)

On Friday, April 6th, 2012 I emailed Dan and asked him to send me some pictures. This is word for word the email he sent back to me.

Allyson,

Attached are a few pics. All of these were taken after she had been diagnosed, except for our wedding picture (you knew we were young when we got married) and the picture of her para-sailing (that was the last picture I ever took of her).

When we would go for walks, I used to tell her that I believed God would use her to encourage others. I believed that God was going to use her to reach many. As we walked, I would tell her to close her eyes…, hold my hand…, and don’t let go…, just breathe and believe.

I believed. And I was right. I just didn’t know that it would be you telling her story.

Thank you.

The 7 Minute Solution begins with a line in the sand. If not today, somewhere and at some time – some thing will happen in your life and you instantly become aware that it is time to slow down. This journey began for me in 2001. Don’t let another day pass. Look around you. What do you see? It is time to wake up and rediscover your meaning and purpose in life. It is time to reconnect with the people you love most. It is time to re-think what you believe. Let today be that day.

As we stand at the beginning of a new quarter, have you taken time to consider where you will be in the next 90 days? Think of every quarter as an opportunity to renovate your life, just like you might update a building. You can tear out walls that are in your way, re-purpose old space or create new additions. The choices are all yours, but if you want to effectively remodel your life, you had better get a very clear picture in hand. You need a 90 day blueprint.

In today’s 7 minute training video (it’s literally 7 minutes), I share with you some tips on how to create and use your own 90 day blueprint. Also, you will learn the one BIG mistake I made with my first blueprint.

Recently I was speaking to the 2012 Women’s Leadership Conference at Arkansas State University. The attendees were chosen by their Deans and Faculty advisors to attend this amazing event. for the weeks preceeding the program I began to think about what I should say to a group of 75 highly talented, highly educated women.

So I shared a program titled: 6 Thoughts, 5 Personal Insights, and 1 Action Step. We are working on editing the video of that entire program for you to watch in its entirety.

But, my 5th personal insight that I shared was:

KNOW WHAT YOU BELIEVE!

In business and in life, you must decide what you believe long before a problem begins.

I believe a GREAT quarterly exercise is to review your corporate values. Your corporate values are what your company believes in – these values should act as a framework for the business decisions you make and the activities you choose to focus on each day. Without values you allow your actions and focus to drift and become distracted. Why not take time this week to draft a list of values for your company. Then, share those values with your team and your customers. And, repeat them often. Corporate values do you little good if they only hang on your wall – or, are a post on your website. Let them become a part of your life.

Here are our 7 Minute corporate values:

Innovative Ideas and Products
Combining science, technology and repeatable systems – “7 Minutes” works to deliver, the WHAT, WHY and HOW of living a purposeful, productive and meaningful life. Our ideas are grounded on the idea that the human brain is plastic or changeable which is known as the science of neuroplasticity.

Continual Learning
You can be different tomorrow than you are today. Every idea you learn makes you different. We stand for the value of continual learning. Our books, blogs, webinars, planning tools, coaching, consulting, speaking events and retreats are focused on the delivering concrete ideas that will help you learn.

Time
Life is experienced in minutes not in years. We value the time of our clients and our “7 Minute” community members. We thrive on the challenge that time cannot be managed, only individual decisions can be chosen.

Fun
Happiness matters. Life is meant to be lived. When given the choice of doing a job, or having fun while we are doing that job, we will have fun. We value freedom, laughter, joy, happiness, expression, and meaningful work.

Entrepreneurial Spirit
Creative business ideas and partnerships have been a core of our success. By taking time to THINK and create novel solutions to real life problems we have continually grown our business. We choose to surround our employees with the freedom and autonomy to grow and develop.

Financial Success
We believe that when we live out our corporate purpose of helping individuals and corporations GROW – and, when we follow the path of our mission of delivering ideas and tools to help people Prioritize, Organize, and Simplify® their lives at work and at home that financial success is a natural outcome. This allows us to reinvest in our business and encourages us to be excellent financial stewards of those resources.

Changing your life for the better isn’t as terribly complicated as we might like to think it is. Life change boils down to:

1. Get clear on what you don’t want.

2. Get clear on what you do want.

3. Identify action steps to move from one to the other

4. Do the work.

I find the crunch point for most of this process though is how you answer one simple question, “What are you willing to do differently today?” You can have an inspiring purpose statement, crystal clear values, and a list of written action steps, but none of those things will get realized without be willing to do something different.

The truth of this came home to me powerfully this past week. I was talking to a woman that 25 years ago had been in a youth group I helped lead. I frequently took those kids roller skating on Friday nights. Often times on the drive home from the rink they would unpack what was going on in their lives. This woman recalled a defining moment that occurred one night when I drove her home. She was 13 years old at the time and her parents had recently divorced. It was hard on her and she was determine that some day her future would be different. She was sharing with me how her life was going to be better and I asked her, “So, what are you going to do different?” It was in that moment, that she decided and proclaimed. “I will go to college.”

She did go on to college. She became a math teacher, married, and has 3 lovely kids of her own. She has hung up teaching math for now and is a stay at home mom that is incredibly dedicated to her family and her church. Her life is very different now. She answered that operative question “What am I willing to do differently?” in a big way and it has made all of the difference. I am so very proud of her.

Please note an operative word in that question that you might easily slough past and that is–willing. How often do you know what you could do or should do, but don’t do it? A big gap often resides between what we know can be done and what we are actually willing to do. My friend was willing (not just willing, but doggedly-determined) to do what she knew needed to happen to change her life story.

If you are honest with yourself, what are you WILLING to do to change your life for the better? Start with what you are willing to do and build upon those successes. If you already are a goal setter, I would encourage you to look back at past goals that you haven’t completed. What were the steps that you could have taken but didn’t? Why not? Was there some reason you were unwilling to take those steps?

Look for any common patterns. For example, I have noticed that I use to fail to ask for help on goals when I couldn’t do something myself. I am not sure if this was a fear of being rejected, wanting to be in control, or an unwillingness to trust others with the results. Either way the insight has helped me to stop being such a lone wolf when it comes to accomplishing goals. I was only sabotaging my own efforts. However, by looking back at my past failures I have found the edge of my willingness. I now can make different choices than I did before.

Lastly, when you find yourself resisting an action step that will move you forward then you are at the edge of your willingness. You are faced with one of three choices:

1) Stay were you are. Unfortunately, if you do nothing then you are actively opting to live a life you know you don’t want. You are better than that. You deserve more than that. Don’t let yourself stay trapped.

2) Renegotiate. Perhaps, there is an alternate action step that you are willing to take. For example, may be you know that in order to have better health you need to lose weight. You join a gym, but aren’t ever going. Perhaps, you feel self-conscious. What would be another option? Hire a trainer. Start walking every day at lunch. Get some exercise videos and workout at home. The alternatives are endless. Select one that will move you forward and go with what you are actually willing to do.

3) Confront the edge and move through it. Change can be tough. Learn to accept this as a reality. Choose to move forward despite your fears, failures and shortcomings. Figure out ways to take action even when you don’t want to. This tenacity will expand your willingness to take action and prompt the greatest personal growth.

To your best life now,

John Arnold
